🔒 MatchUp collects only the minimum data required to function. We do not sell, trade, or share your data with third parties. This policy explains exactly what we store and why.
Overview
MatchUp ("the Bot", "we", "us") is committed to protecting your privacy. This Privacy Policy describes how we collect, use, and handle data when you use MatchUp in a Discord server.
By using MatchUp, you agree to the collection and use of data as described in this policy. If you are a server administrator, you are responsible for informing your members about how MatchUp handles data.
What We Collect
MatchUp stores the following data to operate its features:

All data is stored in a Turso (libSQL) database hosted on secure infrastructure. No passwords, emails, or payment information are ever collected.
What We Don't Collect
✅ We do not read or store message content — only reaction events on bot-posted messages.
- We do not collect usernames, display names, or profile pictures
- We do not read channel messages or DM content
- We do not collect IP addresses, device information, or browser data
- We do not use cookies or tracking pixels
- We do not build user profiles or track behaviour across servers
- We do not collect or store any payment information
How We Use Your Data
Data collected by MatchUp is used exclusively for the following purposes:
- Creating, displaying, and managing availability polls
- Tallying reactions and identifying the best available time slot
- Sending DM reminders to users who have not responded to a poll
- Applying server-specific settings (timezone, manager roles, etc.)
- Detecting and recovering from API errors (internal error logging only)
- Sending automated backup exports to the bot owner for disaster recovery
We do not use your data for advertising, analytics products, or any purpose beyond operating the bot's features.
Storage & Security
All data is stored in a Turso (libSQL) database. Turso provides encrypted connections and access control. Database credentials are stored as environment variables and never hardcoded or publicly exposed.
- Data is transmitted over encrypted connections (TLS)
- Database access is restricted to the bot process only
- Periodic backup exports are stored as encrypted JSON files in a private Discord channel accessible only to the bot owner
While we take reasonable precautions, no system is 100% secure. In the unlikely event of a breach affecting your data, we will notify affected server administrators via the support server.
Data Retention
We retain data only as long as it is needed:
- Poll data — deleted automatically when a poll expires or is manually closed/deleted by a server administrator
- Vote records — deleted together with their parent poll
- Server config — retained while the bot remains in the server; can be reset via /setup
- On bot removal — server config and all associated poll data are eligible for deletion upon request
Data Sharing
✅ We do not sell, rent, or trade your data. Ever.
The only third-party service that handles MatchUp data is Turso (our database provider). Their privacy policy is available at turso.tech/privacy.
We may disclose data if required by law, legal process, or to protect the rights and safety of users — however, given the nature of the data we hold, such disclosures would be extremely limited.
Your Rights
You have the right to request:
- Access — what data MatchUp holds about your server or user ID
- Deletion — removal of your server's data from our database
- Correction — if any stored data is inaccurate
To exercise these rights, join our support server and open a ticket. We will respond within 7 days. Server administrators can delete all poll data for their server immediately via /poll delete.

Children's Privacy
MatchUp is not directed at children under 13 (or under 16 in the EU), in line with Discord's own age requirements. We do not knowingly collect data from users below these age thresholds.
If you believe a minor has used MatchUp in a way that may have exposed their data, please contact us via the support server and we will take appropriate action.
Discord's Role
MatchUp operates on Discord's platform. Discord independently collects and processes data about your account, messages, and activity. This policy covers only the data MatchUp stores in its own database.

Changes to This Policy
We may update this Privacy Policy from time to time. Significant changes will be announced in our support server. The "last updated" date at the top of this page will always reflect the most recent version.
Continued use of MatchUp after changes are posted constitutes your acceptance of the updated policy.
